Start with your situation
Record who is responsible for each response and when supporting records are due. Do not assume that retaining a professional or booking a call automatically changes a deadline printed on a notice.
Every deadline needs an owner
A calendar is useful only when it distinguishes return filing, tax payments, notices, and follow-up tasks. These events may occur on different dates. The correct date comes from the applicable instructions or actual notice, not an old blog post. Record the source of each deadline so it can be checked if circumstances or official guidance change.
Use reminders with evidence fields
For each entry, add the tax type, period, required action, responsible person, and location of the final confirmation. Set an earlier preparation reminder rather than only a due-date alert. Review the next month's items during a regular check-in. When assigning work to a preparer, confirm who will submit it and who will verify completion.
- Separate filing and payment events
- Assign a responsible person
- Attach submission or payment evidence
Questions to consider
Is an email reminder evidence that a return was filed?
No. Keep the completed return and actual submission or processing evidence appropriate to the filing method.
